# What should a commercial cleaning quote form ask?

The information an office-cleaning business needs to qualify an inquiry and arrange a useful walkthrough.

A commercial cleaning inquiry form should help your team decide whether a job fits and what to ask next. For an office-cleaning business, that usually means identifying the location, premises, required schedule and scope before promising a final price.

The form does not need to become a detailed survey. Give prospective customers a straightforward first step, then gather the information needed for a walkthrough or a written proposal.

## A brief for the walkthrough

**Premises**: Office / approximately 6,000 sq ft

**Schedule**: Three evenings per week

**Work**: Washrooms, kitchen and desks

**Next step**: Confirm the location and arrange a walkthrough

## Make it clear which work you take on

Before the form, explain the types of premises you serve and the areas you cover. An office manager should be able to tell whether you offer regular office cleaning, occasional deep cleans or both.

If you do not handle medical facilities, hazardous materials or other specialist work, say so where it helps someone make a decision. Use photographs, examples and credentials only when they belong to your business and you have permission to publish them.

## Collect a useful first brief

We recommend starting with these fields:

- Contact name, business name and email.
- Premises location or ZIP code.
- Type of premises, with an “Other” option.
- Approximate floor area, with “Not sure” available.
- Required cleaning frequency.
- Preferred cleaning window, such as before opening or after closing.
- Desired start date and any flexibility.
- An optional description of the work or current problem.

Ask only for details you will use at this stage. Leave access codes, alarm instructions and sensitive building information out of a public inquiry form. Collect those later through your agreed onboarding process.

For example: “Two-floor office, approximately 6,000 square feet, three evenings per week. We need washrooms, kitchen and desks included. Please arrange a walkthrough before the end of the month.”

## Do not turn floor area into an unsupported final price

Two offices with the same floor area can have different cleaning requirements. ISSA's workloading guidance treats square footage as one input alongside scope, facility type, tools and other factors. A single area field does not describe the whole job. [Read ISSA's cleaning times and workloading fact sheet](https://access.issa.com/wp-content/uploads/ISSA-Cleaning-Workload-Fact-Sheet.pdf) .

If you publish an estimate calculator, explain its assumptions and what might change after assessment. Otherwise, use the form to request a quote or arrange a walkthrough. Avoid a “Book now” button if the customer cannot actually reserve the service shown.

## Use the walkthrough to complete the scope

ISSA recommends assessing a facility's high-traffic areas, critical zones and specialized needs before setting a cleaning schedule and scope. That supports a simple website journey: initial brief, assessment, written proposal. [See ISSA's facility assessment guidance](https://www.issa.com/articles/best-ways-to-clean-a-customers-facility-a-guide-for-commercial-cleaning-companies/) .

Your follow-up checklist might cover floor surfaces, washroom counts, waste handling, supplies, access windows and tasks excluded from routine visits. Ask whether the customer needs periodic work, such as interior glass cleaning, listed separately. The business should approve this checklist so it reflects the services its team can actually provide.

## Explain what happens after submission

A helpful confirmation repeats the inquiry and explains who will respond. State whether the next step is an email, a call by agreement or scheduling a visit. Only promise a response time your team can consistently support.

If you add an assistant later, give it approved information about services and coverage. It can explain the process or help collect a brief. It should hand over questions about a specific quote or unusual cleaning requirement when the answer needs a person's judgment.

## Test the inquiry as a customer would

Try submitting from a phone with an unknown floor area and a flexible start date. Confirm that the form accepts realistic uncertainty, shows clear errors and delivers the inquiry. Check that someone owns each follow-up and that the customer has a usable alternative if the form fails.
