A supplier’s support assistant is a good fit for questions that can be answered from approved, current information. It should show the source, distinguish policy from live availability and pass product compatibility, stock uncertainty and exceptions to the team.

## Start with repeatable questions

Collection instructions, account applications, returns procedures and the information needed for a quote are bounded topics. They are easier to define and review than an assistant expected to answer anything about the entire catalog.

## Separate the kinds of information

## What a handoff needs

A handoff should preserve the original question, any supplied part number or specification, what the assistant already said and the unresolved point. If the team needs an email address to reply, ask for it at the handoff stage with a clear explanation.

Do not turn “I’ve prepared your request” into “your order is confirmed.” The interface and the connected systems must agree on what actually happened.

## Test the boundaries before launch

Include outdated policies, ambiguous part numbers, unavailable inventory and requests for unsupported commitments in the test set. Check that the assistant identifies missing information and stops when the source does not support an answer.

Give someone responsibility for updating the source material. Record which answers need corrections during a controlled pilot. Useful measures include reviewed answer accuracy, handoff completeness and how often the team has to ask the buyer to repeat the question.
