An equipment rental inquiry form should collect the items and quantities, the period the customer needs the equipment, the event or work dates, the location, and any delivery, setup and return windows. Those are separate details: a Saturday event may need equipment delivered on Friday and collected on Monday.
Show the customer a readable request summary. Give your team a brief it can use to check equipment, transport and staffing together before quoting. Availability and the final price remain subject to your team’s confirmation.
Separate event time from equipment time
Rentman’s planning and usage period guidance distinguishes the period equipment is outside the warehouse, which affects availability, from the period the customer uses it. The documentation also describes separate preparation and pack-up schedules. Your website does not need to copy that software’s terminology; it needs to capture dates your operations team can interpret.
Ask when the customer needs possession of the equipment and when it can be returned or collected. Collect the event or work period separately when relevant. Your team can then account for its own preparation, transport, turnaround and billing rules.

Use local times and an unambiguous date format; include the venue’s time zone where your service area crosses zones. Give uncertain customers “I need help choosing” and “Time to be confirmed” options where your process supports them.
Ask about access without turning the form into onboarding
A loading window, stairs, a freight elevator or an outdoor location can help your team judge delivery and setup requirements. Ask for the details you use before quoting. Collect access codes, credentials and private security instructions later through your agreed operational process.
Make conditional fields follow the selection. Someone collecting from your depot should not have to invent a delivery address. A delivery customer should see location and requested arrival fields, with a separate “ready for use by” time if setup matters.

Review the brief before building the form
Show the selected equipment, quantities and every requested window together before submission. Let the customer correct them. The receipt should say a request was received and explain the next step; it should not imply a reservation.
Test a same-day rental, a weekend spanning several possession days, an unknown package and conflicting dates. Confirm that the received brief preserves the customer’s entries.
