An electrical distributor quote form should identify the manufacturer and exact part reference, the requested quantity and selling unit, the delivery destination and needed-by date. Carry across the approved product specifications from the catalog. Give buyers an “I need help identifying the part” route when they cannot supply a reference.

The customer should be able to check what they are requesting; your sales team should receive those same details together. A product name alone is rarely a useful substitute for the part reference, suffix and unit the buyer actually selected.

Start with the part identity

Mouser’s quote request form collects a distributor or manufacturer part number alongside quantity, with technical information in notes. Bravo Electro’s RFQ form separates part number, manufacturer and quantity. These are examples of actual distributor intake fields, not evidence that one form layout increases inquiries.

For your own catalog, keep the manufacturer reference distinct from an internal stock code. Preserve meaningful suffixes rather than shortening the reference to a family name. If a product has several variants, the selected reference and approved description should travel with the inquiry.

Treat this as a proposed field checklist. Your team should approve which specifications matter for its range. Do not ask buyers to recreate a datasheet in free text when the approved catalog already contains it.

Keep the quantity attached to its unit

“10” might mean ten pieces, ten packs or ten feet of material. Show the selling unit beside the quantity control and again in the review. If a pack contains a fixed number of pieces, retain both the requested packs and the catalog’s pack size.

For length-based products, state whether the request concerns individual cut lengths or a total length. If the buyer does not know, accept that uncertainty for sales review. Do not silently turn a requested total into an approved cutting instruction.

For an unidentified part, replace the reference fields with “Unknown” and describe what the buyer has. Agree a suitable document or photo handoff if your team uses one. Do not make a valid stock code the only route to contact you.

Leave approval with the responsible team

The request records what the customer wants; your team confirms the identity, specification, compatibility, alternatives, availability, price and delivery terms.
