Give every print inquiry a consistent job brief: format, quantity, stock, color, finishing, artwork status and delivery needs. A form or assistant can organize those details and flag gaps. A person should inspect the artwork, approve the quote and confirm production capacity.
The gap between an inquiry and a printable job
“We need some booklets next month” is a useful start to a conversation, but it is not enough to estimate or schedule the work. The missing details often arrive across several replies, leaving someone to reconstruct the specification.
The first improvement is a shared definition of a complete brief. Decide which details are essential for each product and which can wait until the customer speaks with the team. A business-card request should not have to answer every question needed for a bound publication.
An original idea: Folio Job Desk
Folio Job Desk brings incoming jobs, a specification ticket and the production checklist into one view. Try the short-run journal, business cards and exhibition poster requests. Each has a different next step.
The journal needs clarification. The cards need explicit proof approval. The poster brief is ready for the production team to inspect and price. Preparing a clear next step is the job of this workflow; accepting the order is not.

The minimum useful specification
| Field | Example of useful detail |
|---|---|
| Finished size and extent | A5 portrait, 32 pages. |
| Quantity and stock | 150 copies, uncoated stock with weight to confirm. |
| Print and finishing | Number of printed sides, color requirements and binding. |
| Artwork status | Available, in preparation or requiring help. |
| Proof status | Awaiting review or explicitly approved. |
| Deadline and delivery | The actual calendar date and collection or shipping requirement. |
Keep the approval states distinct
A file being uploaded does not mean it is print-ready. A customer saying the design looks good does not necessarily approve the final proof. A requested date is not confirmed production capacity.
Use language that preserves those distinctions. An assistant can prepare an approval request or a team handoff, but the workflow should record the approval that is actually required before production.
Connect the customer side
The Folio Press website concept lets a visitor assemble a print specification. Those choices could populate the same brief used by the production desk. That avoids asking for the same information twice.
Start with a form and a shared job sheet if they cover the need. Add an assistant when varied free-text inquiries create enough review work to justify the extra setup and operating cost.
What to agree before a pilot
Choose the product types, required fields, approved terminology, review owner and destination for each brief. Test missing specifications, contradictory dates and requests outside the shop’s capabilities. Keep the original inquiry available beside the summary.
Our AI assistant service includes an agreed workflow, source setup, pilot and handover, starting at $3,500 USD. Connected tools and usage costs are identified separately in the proposal.
